Boutique Safaris General Policies:
Safari and Tour exclusions
a) International and Domestic Air tickets: We encourage you to price out the most convenient and cost effective air transportation. Often, we recommend KLM airlines as this is the only international airline that flies directly into Arusha from Europe. You are responsible for making your own international flight arrangements. Boutique Safaris Ltd. is neither responsible nor liable for any cost incurred by a guest or tour operator related to international air travel or air tickets. If your tour includes domestic air tickets booked by Boutique Safaris Ltd., we will provide you with the ticket prices separately in our tour quote.
b) Safari Travel Insurance: Safari travel insurance is compulsory for all Boutique Safaris Ltd. participants with coverage for trip cancellation or curtailment, medical expenses arising from illness or accident before or during the trip, evacuation and repatriation in case of emergency, death, any loss or theft of baggage, money or personal effects. Participants should ensure that there are no exclusion clauses limiting protection such as trekking, mountaineering activities. Participants must provide proof of travel insurance when making the final payment. Clients are responsible for their own insurance and Boutique Safaris Ltd. is not legally liable or responsible in the event a guest fails to take out adequate insurance coverage. All sporting activities undertaken by clients are of their own choice and at their own risk. These include such activities as para-sailing, scuba diving, mountain climbing, all other water sports, horse-riding, etc. We advise clients to review their insurance policies carefully as many policies will not cover injuries sustained in a high-risk activity.
c) Insurance: All clients are required to purchase full insurance coverage (health, trip cancellation, trip delay, lost luggage, etc.) for the tour package and airline tickets. Insurance can be obtained from a local travel insurance company in your country of origin. Boutique Safaris Ltd. is neither responsible nor liable for any cost, injury, etc. incurred by a guest or tour operator that would be covered by full insurance but was not purchased as required.
d) Passports and Visa Costs: All visitors will require a valid passport. Every passport must be valid for at least six months after the date you return to your home country. Most visitors to Tanzania will require a visa to enter Tanzania. Individuals will be required to obtain their own visa within 3 months before the arrival date. You can also obtain a visa upon arrival at the airport in Tanzania if that is more convenient for you. However, most travelers secure their visas in advance to be safe.
e) Vaccinations/Medical Costs: Tanzania requires numerous vaccinations and anti-malarial prophylaxis may be recommended. Boutique Safaris Ltd. can’t provide any medical advice and we strongly encourage you to speak with your doctor and contact your local travel clinic to obtain the latest recommended/required medical/health protection. Boutique Safaris Ltd. is neither responsible nor liable for any cost or injury incurred by a guest or that failed to ensure all recommended medical and travel precautions have been taken.
f) Tips: It isstandard practice to tip your African guides, drivers, porters, restaurant staff and other service providers. Expect about $15.00 per person per day to cover these costs.
g) Personal Items: Laundry, alcoholic beverages, etc. are not included in your tour costs.
h) Holiday Booking Surcharge (if applicable): A supplement of US $ 50.00 per person per day will apply to all bookings on the 24th, 25th, 26th and 31st December and 1st January. A supplement of US $ 40.00 per person per day will apply to all bookings between Easter Friday and Easter Monday (for all 4 days) as Easter holiday surcharge.
Safari and Tour Inclusions:
a) Transportation: Licensed and insured late model 6 passenger 4 X 4 vehicles on safari, coaches, vehicles, watercraft, and other modes of transportation are utilized.
b) Hotels/lodges/camps as described: Our price quote will include specific references to the selected accommodation.
c) Meals and Refreshments: Meals and refreshments as noted in your tour quote are included.
d) Guides: Licensed, professionally-trained English-speaking, local game tracker/guide, climbing guides (if applicable) and tour guides (if applicable) accompany all tours.
e) Entrance Fees: Tours include all required National Park and other admission fees.
f) Transfers: All transfers (airport, hotel and national parks) as noted in your tour quote are included.
g) Ground transportation: Unless otherwise noted, safari and other vehicles used for our tours will be either 8 seat or 6 seat 4×4 safari vehicles with English-speaking drivers/guides:
- 8 Seater Safari Vehicle has 6 window seats (in the passenger cabin) and 1 window seat next to the driver (in front)
- 6 Seater Safari Vehicle has 4 window seats (in the passenger cabin) and 1 window seat next to the driver (in front)
h) Domestic Air tickets (if applicable):If your tour includes domestic air tickets booked by Boutique Safaris Ltd., we will provide you with the ticket prices separately in our tour quote.
i) Additional optional tour components (if applicable): If you have requested optional tour components such as a Serengeti Hot Air Balloon Tour, this will be included.
Every client will be required to complete a registration form and waiver form as part of our booking policies. We will send you the form once you have indicated you are ready to book a safari or tour. Upon completion, please scan and email the form to us. Thank you.
All tours are booked and all tour arrangements are made by Boutique Safaris Ltd. on the express condition that Boutique Safaris Ltd., their employees, officers, and agents shall not be responsible for, and shall be exempt from all liability in respect of any loss, damage, accident, delay or inconvenience to any person, his or her luggage or other property, wherever, whenever, and howsoever caused. Boutique Safaris Ltd. acts as agent only for our local service providers such as hotels and, accordingly, accepts no liability whatsoever for any loss or damage which any client may suffer as a result of the failure of any such service provider to fulfill their obligations whether in relation to travel arrangements, accommodation or other service. Boutique Safari Ltd., their employees, officers, and agents shall further not be liable for any consequential loss or damage whatsoever. Boutique Safaris Ltd. has the authority to claim the cost of repair for any damages caused by a client to any Boutique Safaris Ltd.’s property.
The company’s prices and tour quotes are subject to change since they are based on known costs at time of publication. Between that time and the time of the trip’s actual departure, possibility of cost increases may occur in connection with: exchange rates, taxes, park fees, government action such as increases in VAT, that we cannot absorb.
Cancellation by Client
If a registered tour guest is required to cancel, all cancellations must be received in writing (by email is acceptable). As all suppliers charge cancellation fees, they are in turn passed on to us. Reservations that are cancelled or altered (i.e. reduced in length of stay or reduced in number of guests) are subject to cancellation fees or if the guest fails to arrive (referred to as a “no-show”). Following is the scale for cancellation charges: 35% of the tour cost if cancelled between 60 and 45 days prior to arrival; 50% of the tour cost if cancelled between 44 and 15 days prior to arrival; 100% of the tour cost if cancelled within 14 days prior to arrival or in the case of a ‘No Show’. No substitutions are allowed and no refunds or credits will be given for individual tours cancelled. It is a requirement that you purchase full insurance coverage for the tour package and airline tickets to protect you in the event of cancellation or alteration.
Cancellation by Boutique Safaris Ltd.
Boutique Safaris Ltd. reserves the right to cancel a tour at any time prior to departure if, due to terrorism, natural disasters, political instability or any reason whatsoever it is not viable for us to operate the planned itinerary. The refund of all land payments received shall release the Company from any further liability. The Company is not responsible for any incidental expenses that you may have incurred as a result of your booking such as visa fees, inoculations, non-refundable air tickets, etc.
While every effort is made to adhere to all itineraries, Boutique Safaris Ltd. reserves the right to make itinerary changes for your convenience. In the unlikely event of an unscheduled tour delay/itinerary alteration/extension caused by flight delays, bad weather, strike, civil unrest, etc. beyond the control of Boutique Safaris Ltd., it is understood that any expenses relating to any delay/itinerary alteration/extension (hotel accommodations, meals, flight change fees, etc.) are the responsibility of the client. We highly recommend all clients obtain insurance coverage for such events.
No refund for unused services will be considered in the event that the stipulated hotel accommodation, excursion, service, etc., is unavailable for any reason whatsoever. Whenever possible, Boutique Safari Ltd undertakes to provide like or better accommodation, etc., at the same price quoted to the client. Where it is possible, a client may request to terminate their tour early for personal reasons. Any extra expenses incurred as a result of such unanticipated termination will be for the responsibility of the client and any unused services will not be refunded. We highly recommend all clients obtain insurance coverage for such events.
A deposit of 50% is required at the time of booking. For details of how to make payments to Boutique Safaris Ltd. please contact us. The remaining balance is due 45 days beforestart of the tour. If the reservation is made within 45 days of start of the tour, the whole amount (100%) must be paid at the time of booking.
We encourage families to enjoy our tours together. However, we are not always able to accommodate families in one room as many of the lodges/camps don’t have rooms large enough to accommodate a whole family. Subject to the conditions noted below, the following rates apply to children between the age of 3 and 12 years (proof of age in the form of a copy of a passport front page is required):
Each child is charged 60% of the adult tour rate if sharing a room with two adults;
Each child is charged 80% of the adulttour rate if sharing a room with another child;
Each child is charged 100% of the adult tour rate if sharing a room with one adult;
Children older than 12 are charged 100% of the adult tourrate.
The above noted discounts may not be available during the peak season (i.e. holidays or periods when hotels/lodges/camps charge supplements)
Safari Travel Insurance
Safari Travel Insurance is compulsory for all Boutique Safaris Ltd. participants. Passports, visas, vaccinations and other medical requirements
Guests are responsible to obtain proper, current and valid passports, visas, vaccinations, inoculations, etc. where required or recommended, and Boutique Safaris Ltd. shall not be responsible or liable for any consequence of any nature arising from failure to comply with all such requirements.
Tour Suitability and Behaviour
We reserve the right in our absolute discretion to terminate without notice the trip arrangements of any customer whose behaviour is such that it does or is likely, in our reasonable opinion, or in the opinion of any operator or any other person in authority, to cause distress, damage, danger or annoyance to any third party, or to cause damage to property.
Our trips can be physically demanding. All participants confirm that they are in good health. It is your responsibility to disclose an accurate account of any limitations in your mobility and all other relevant information relating to your health and fitness at the time of booking. You must also advise us of any change to your level of mobility or health and fitness between booking and starting your trip. We reserve the right in our absolute discretion to terminate without notice the trip arrangements of any customer who is likely, in our reasonable opinion, or in the opinion of any operator or any other person in authority, to be unable to cope adequately with the demands of the trip. In either of these circumstances all our obligations to you under this contract or otherwise shall cease, full cancellation charges apply and we shall not be liable for any refund, compensation or costs incurred by you whatsoever. These conditions are subject to Tanzania Law as applied in the country and the Courts in Tanzania shall have sole jurisdiction.
